Using the service
Variation Vault helps residential trades create jobs, capture extras and variations, send customer approval links, upload photo evidence, and keep approval and completion proof records.
You are responsible for your account, workspace users, accurate business information, customer communications, pricing, VAT, timing details, contracts, and billing decisions.
Approval links and evidence
Customer approval links are provided so customers can review and respond to job scope or variation requests. You are responsible for checking that the information you send is accurate and appropriate for the customer and job.
If you add a customer WhatsApp number or open approval links in WhatsApp, you are responsible for confirming that the customer expects to receive those job updates or approval links from you on WhatsApp.
You are also responsible for uploaded evidence, including whether you have the right to upload, store, and use photos or notes in connection with a job.
Subscription billing
Subscription billing is handled by Stripe-hosted Checkout and the Stripe Customer Portal. The launch plan includes a 7-day no-card trial; no card is needed to start, and a card is added and charged only when you subscribe at the end of the trial. You can cancel through the Stripe Customer Portal where available in the app.
Variation Vault does not collect card details directly. Stripe subscription status is used to decide whether a workspace has access to paid features.
Product boundaries
Variation Vault does not provide legal advice, accounting services, invoice creation, customer payment processing, debt collection, or any guarantee that a customer will approve or pay.
Use Variation Vault as a record-keeping and approval workflow tool. You remain responsible for your own customer communications, legal documents, invoices, payment collection, tax treatment, and accounting records.
Acceptable use and suspension
Do not misuse the service, attempt to bypass security controls, upload unlawful or harmful material, spam customers, or interfere with other users. We may suspend or restrict access where needed to protect the service, customers, or other users.
Availability, IP, and liability
We aim to provide a reliable service, but we do not promise uninterrupted availability or specific outcomes from using approval records or proof records.
Variation Vault and its product design, software, and branding belong to Variation-Vault or its licensors. You keep responsibility for the data you enter and upload.
To the extent allowed by law, Variation Vault is provided without warranties that are not expressly stated here, and liability is limited to the fees paid for the service during the relevant period.
Cancellation and contact
You may stop using the service or cancel your subscription through the Stripe Customer Portal. We may terminate access if you breach these terms or use the service abusively.
